Terms and Conditions of Wedding Agreement

1. Booking and Deposit

• Once we have received your deposit, AJRPLTD will reserve the agreed date and time for your wedding and will not accept any other bookings for that slot.

• The deposit is non-refundable unless the date can be filled by another client (see Section 2).

2. Cancellation by Client

• If you cancel your booking, change your wedding date, or your wedding is cancelled, all payments made to AJRPLTD except for the deposit will be refunded.

• If AJRPLTD is able to fill your original date with another wedding, your deposit will also be refunded.

3. Cancellation by AJRPLTD

• If AJRPLTD becomes unavailable due to unforeseen circumstances, we will notify you as soon as possible and make reasonable efforts to provide a suitable replacement photographer/videographer.

• If a replacement cannot be found, AJRPLTD will refund all payments made, and our responsibility and liability end.

4. Copyright and Use of Images

• AJRPLTD is the author and first owner of copyright of all photos and videos taken by AJRPLTD or associates at your wedding.

• AJRPLTD asserts moral rights as author.

• You will receive copies of the edited digital files and are granted a licence to make prints and copies for personal use only. You must not alter the files in any way. Raw images or video files will not be provided.

5. Delivery Timescale

• Edited photos and videos are typically delivered within 12–14 weeks of the wedding date. In the event of unforeseen circumstances that prevent delivery within this timeframe, AJRPLTD will communicate a revised delivery schedule to the client as soon as possible.

6. Insurance

• AJRPLTD holds full public liability insurance of £5,000,000. A certificate can be provided on request.

• AJRPLTD is not insured to carry out work deemed unsafe for clients, guests, or staff. Any work deemed unsafe will be undertaken at your own risk, and AJRPLTD accepts no liability for injury in such cases.

7. Travel and Accommodation Fees

• If your wedding requires travel beyond the North West of England, additional travel or accommodation fees may apply. These will be agreed in advance.

8. Responsibility for Digital Files

• AJRPLTD keeps backup copies of edited files, but cannot guarantee they will be provided later without additional cost. You are responsible for backing up files once received.

9. Usage of Images

• AJRPLTD may use or authorise the use of images or videos, including your likeness, for any purpose (including publications, advertising, websites, blogs, social media, display, or promotion) unless you provide written restrictions.

• By accepting these terms, you release AJRPLTD and any licensees or assignees from any claims in connection with the images, videos, or derivative works.

10. Limitation of Liability

• AJRPLTD’s maximum liability, whether arising in contract, negligence, or otherwise, is limited to the total amount paid under this agreement. This includes failure to provide photos or videos for any reason.

11. Overtime

AJRPLTD coverage is limited to the hours stipulated in your package unless additional hours are agreed in advance.

12. Force Majeure

AJRPLTD shall not be liable for failure or delay in performance due to events beyond our control, including but not limited to illness, extreme weather, natural disasters, or other unforeseen circumstances.

13. Behaviour Clause

• AJRPLTD reserves the right to refuse service or cease work if clients, guests, or other attendees behave in a way that is unsafe, abusive, or threatening to AJRPLTD, staff, or equipment. No refund will be provided in these circumstances.

14. Payment Terms

• The final balance is due one calendar month before the wedding date.

• Payments can be made via bank transfer, cash, debit card, or credit card.

• AJRPLTD reserves the right to cancel the booking if the final balance is not received on time unless alternative payment date is agreed in advance.

15. Image Editing and Style

• Photos and videos will be edited in AJRPLTD’s style. Minor corrections are included; major changes or custom edits are not part of the package.

16. Client Cooperation

• Clients agree to provide reasonable access to venues and co-operation of key participants to enable AJRPLTD to perform the service.

17. Drone Photography / Videography

• AJRPLTD holds a valid Flyer and Operator ID and operates drones in full compliance with UK law and regulations.

• Drone flights on the wedding day are subject to weather, venue restrictions, and safe flying conditions.

• AJRPLTD cannot guarantee drone coverage and is not liable for footage not captured due to unsafe conditions or regulatory limitations.

18. Third-Party Vendors

• AJRPLTD is not responsible for interference from other vendors (e.g., planners, coordinators, lighting) that may affect image or video quality.

19. Archiving and Online Gallery

• Online galleries are live for 12 months from the delivery date and are available to view and download during this period.

• AJRPLTD will keep backup copies of edited files but these may not be retrievable without additional cost following your online galleries expiration date.

• No reshoots are included under this agreement, except where expressly agreed.

20. Equipment Failure / Technical Issues

• AJRPLTD is not liable for loss or corruption of digital files due to equipment failure, technical issues, or unforeseen circumstances outside our control.

21. Weather / Outdoor Conditions

• AJRPLTD is not responsible for the impact of weather or environmental conditions on photography or videography.

22. Venue / Props / Decorations

• AJRPLTD is not responsible for venue restrictions, props, or decorations that limit photography or videography options.

23. Delays During Wedding

• Coverage is limited to the hours agreed in your package. Delays or extensions due to ceremony or reception changes may not be covered unless additional hours are purchased in advance.

24. Model Release / Guest Consent

• Clients acknowledge they have obtained any necessary consent from guests for photography and videography and will indemnify AJRPLTD if a guest objects to the use of images.

25. Dispute Resolution and Governing Law

• Any disputes arising from this agreement will first be attempted to resolve via negotiation. If unresolved, disputes will be governed by UK law.

26. Privacy and Confidentiality

• Client information will not be shared without consent, except for use of images and videos for promotion as described in Section 9.

27. Authority

• By returning the “wedding agreement” form or ticking “I agree to the Terms and Conditions” when paying your deposit, you confirm that you have the authority to bind all parties (bride(s), groom(s), or other clients) to this agreement.

28. General Provisions

• Failure or delay by AJRPLTD to exercise any right or remedy does not constitute a waiver of that right, nor prevent further exercise of any other right or remedy.
